How to File a Walmart WFS Reimbursement Claim (2026)

How to file a Walmart WFS reimbursement claim

A Walmart WFS reimbursement is the payment Walmart makes when it confirms that your inventory was lost or misplaced while in Walmart Fulfillment Services’ possession, or when a customer-return dispute is decided in your favor. Walmart does not pay for every gap on its own: for inbound shortages you have to open an investigation between 10 and 50 days after delivery, and Walmart states that no appeals are accepted.

This guide covers the two claim types Walmart documents for WFS sellers: inbound receiving shortages and customer-return disputes. Every rule comes from Walmart Marketplace Learn, checked on November 5, 2026.

1. Inbound shortages: units that never showed up as received

An inbound shortage is when the fulfillment center receives fewer units than you shipped. According to Walmart’s guide Troubleshoot WFS receiving issues (updated August 6, 2026):

  • Window: open the investigation between 10 and 50 days after the shipment was delivered to a Walmart fulfillment center, as confirmed by tracking. The shipment does not need to be closed first.
  • What Walmart pays: if it finds the inventory was lost or misplaced while in WFS possession, Walmart reimburses the estimated proceeds of the sale, based on the item’s average sales price, in the next payment cycle.
  • Final decision: Walmart decides at its sole discretion, and no appeals are accepted. If there is no conclusive evidence that WFS is responsible, no reimbursement is issued.
  • Your own carrier: if you ship with your own carrier, you are responsible for goods lost in transit to the fulfillment center and must claim from that carrier.

Documents Walmart asks for

How you shippedParcelLTL or FTL
Walmart Preferred CarrierNo documents requiredBill of lading with shipper and carrier pickup signatures
Other carrierProof of delivery from the carrier showing the street address of the delivery locationBill of lading with shipper and carrier pickup signatures

A bill of lading from a non-preferred carrier must show the shipment IDs, the full destination address, freight terms, your name and ship-from address, the ship date, the carrier name and the number of cases, in English or with an English translation. The quantity on your documents can be higher than what you shipped to WFS, but not lower.

How to open the investigation in Seller Center

  1. Go to Shipping Plans in Seller Center.
  2. Find the shipment and select View plan.
  3. Open the Track items tab and select Investigate shipment.
  4. Choose the item, add the tracking information and upload the documents.
  5. Review and submit. Walmart emails a confirmation, and you can follow the case under Track items.

2. Customer-return disputes

Walmart’s guide WFS customer returns reimbursement and dispute processes (updated April 2, 2026) explains when you can dispute a return. Walmart already pays return processing costs when the return is marked Walmart fault, such as damage or loss in transit, late delivery or the wrong item received. You can dispute when a return-to-seller item wasn’t sent back to you, the returned item had a problem, or you were charged a return fee or refund incorrectly.

Deadline: submit the dispute within 45 days of the dispute window opening. The window opens on a different date for each situation:

SituationDispute window opens
Return not processed and no reimbursement on your settlement report90 days after the customer started the return
Processed but not received (return-to-seller items)45 days after processing at the return center
Wrong or missing item, or damaged item graded sellableThe date your return-to-seller tracking shows delivered
Charged for a non-returnable itemThe settlement date of the charge
Item dispositioned incorrectlyThe date the return center scanned it as received

Evidence: for a damaged return, clear photos of the package with its tracking label and of the damaged product showing the order ID and UPC sticker. For a wrong item, photos of the package and label, every item in the return, the wrong item with its order ID and UPC sticker, and all pack-list pages showing the cart ID. Each file must be 5MB or smaller.

Rules to know: open the case through Seller Support, and only one case per order. Walmart makes up to three attempts to get missing information before it closes the dispute. Restocking usually takes at least 7 days after a return reaches the return center, so check the Customer returns report before you file.

Walmart lists returns it does not reimburse, including unsafe items, items covered by your keep-it rules, seller-initiated returns, missing non-essential accessories, and returns approved by Customer Care outside the return window.

What about inventory lost inside the warehouse?

Walmart’s public guides above cover inbound shortages and customer returns. If you see units go missing from your WFS inventory after they were received, compare your inventory reports over time and open a case with Walmart Seller Support with the item, quantities and dates. Walmart decides each case individually.

A simple routine that catches most WFS gaps

  1. Day 10 after delivery: compare each shipping plan with what WFS received. Shortfalls can be investigated from now on.
  2. Before day 50: file every inbound investigation, with documents attached.
  3. Every week: check the Customer returns report and settlement report for returns that weren’t restocked, weren’t received or were graded wrongly, and note when each dispute window opens.
  4. Every payment cycle: match reimbursements to the cases you opened, so you know what was paid and what is still open.

How Crazy Vendor helps with WFS reimbursements

Each case keeps its shipment details and documents, so it is ready before the 50-day window closes. You submit claims through Walmart Seller Center, Crazy Vendor matches the payout when it arrives, and you keep 100% of what Walmart pays. There is no commission on recovered funds.

Amazon FBA reimbursements are tracked in the same dashboard. Read the Amazon FBA reimbursement guide for Amazon’s windows, or see pricing: every plan includes reimbursements recovery, from $29/month with a 21-day free trial.
